On 20 October Google added a small business hub to the Gemini app. Among other things, you can connect it to Shopify and Xero, and it will turn messy spreadsheets, receipts and purchase records into charts. A week earlier, Xero launched its own app for Gemini, which can pull live figures and, with your confirmation, do things like issue an invoice or send a payment reminder.
I think this is good news. Small business owners shouldn't have to learn a reporting tool to find out whether they made money last month.
But an AI assistant reads your systems. It doesn't fix them. If Shopify and Xero disagree, it will give you a confident answer built on the disagreement.
Where the gaps usually are
Xero's own Shopify integration is free on all Xero plans. Its listing says it syncs sales, payouts, fees and taxes, either as a daily summary or one transaction per sale. That covers the money side well.
What it doesn't list is stock. In a lot of small firms, the stock count lives somewhere else: a warehouse system, a spreadsheet, or the person who does goods-in. So the question "how much cash have I got tied up in stock?" has no single place to come from. I wrote more about that problem in disconnected systems. There's more on the free integration on our Xero integration page.
Three checks before you connect anything
- Do your payouts reconcile? Every Shopify payout should match one bank line in Xero, with fees and refunds on their own lines. If you're still fixing payouts by hand each month, an AI will report the unfixed version.
- Is the cost of your stock in Xero? Plenty of firms post sales into Xero but never post what the stock cost them. Your profit figure then depends on a stock adjustment someone does at year end. Ask any assistant for margin and it can't know.
- Is there one true stock count? If Shopify, the warehouse and the spreadsheet each have a number, decide which one wins and make the others follow it. This is the job a Shopify WMS integration does.
Then decide what the AI can change
Reading numbers is low risk. Changing them is not. Xero has made any edit through Gemini wait for your confirmation, which is the right call. I'd do the same for anything you connect: write down what it can read, what it can change, and who signs off. I set that out in Before your AI touches stock or invoices. For where AI earns its keep, see AI on the boring jobs.
The boring bit is the valuable bit
Connecting an AI to your systems takes five minutes. Getting the systems to agree takes longer, but it pays you back every month whether you use AI or not. Do that first.
